Check-In System
The check-in system allows event organizers to efficiently check in attendees at their events using QR codes or manual ticket lookup.
For Event Organizers
Accessing Check-In
- Navigate to your event's management page
- Click on "Check-In" in the sidebar navigation
- You'll see the check-in dashboard with:
- Total attendees count
- Number of checked-in attendees
- Number of attendees not yet checked in
Checking In Attendees
You have two methods to check in attendees:
Method 1: QR Code Check-In
Get QR Code from Attendee
Ask the attendee to show their QR code from their ticket page. They can either:
- Display the QR code on their phone screen
- Show a printed copy of the QR code
Enter QR Code Data
Paste the QR code data into the "QR Code Check-In" field and click "Check In with QR Code"
Camera-based QR code scanning is coming soon! For now, attendees can copy their QR code data to paste into the check-in field.
Method 2: Manual Ticket ID Entry
Get Ticket ID
If the attendee doesn't have their QR code, ask for their ticket ID. This can be found on their ticket page.
Enter and Check In
Enter the ticket ID in the "Manual Check-In" field and click "Check In"
Viewing Attendees
The attendee list shows:
- Name: Attendee's full name
- Email: Attendee's email address
- Seat: Seat number (if assigned)
- Status: Ticket payment status
- Check-In: Whether and when the attendee was checked in
- Actions: Buttons to check in or undo check-in
Filtering and Searching
- Filter dropdown: Filter by "All", "Checked In", or "Not Checked In"
- Search box: Search by name, email, seat number, or ticket ID
Undoing Check-In
Irreversible Action
If you need to undo a check-in (e.g., if checked in by mistake):
- Find the attendee in the list
- Click the "Undo" button next to their name
- The check-in will be reversed immediately
For Attendees
Getting Your QR Code
- Log in to your account
- Navigate to "My Tickets"
- Click on the ticket you want to check in with
- Scroll down to the "Check-In QR Code" section
- The QR code will be displayed automatically for paid tickets
Using Your QR Code
- On your phone: Simply show the QR code on your phone screen at the event entrance
- Printed: Click "Download QR Code" to save it as an image, then print it
Check-In Status
If you've already been checked in, you'll see a green "Checked In" badge with the check-in timestamp on your ticket page.
Troubleshooting
QR Code Not Working
- Make sure your ticket status is "paid" - QR codes are only available for paid tickets
- Try refreshing the ticket page
- If the QR code still doesn't load, contact the event organizer
Can't Check In an Attendee
- Verify the ticket is in "paid" status - only paid tickets can be checked in
- Check that the ticket belongs to the correct event
- Ensure the ticket hasn't already been checked in
- Verify you have organizer permissions for the event
Check-In Already Done
If an attendee shows as already checked in but they claim they weren't:
- Check the check-in timestamp in the attendee list
- You can undo the check-in if needed
- Contact support if you suspect a duplicate check-in
Security
Security Features
- Cryptographic Signing: QR codes are cryptographically signed to prevent forgery
- Access Control: Only event organizers (admins/owners) can check in attendees
- Audit Trail: All check-in actions are logged with timestamps
- Privacy: Attendees can only view their own QR codes
Best Practices
- Before the event: Test the check-in system with a few test tickets
- During check-in: Have a backup method (manual entry) ready in case QR codes don't work
- Multiple check-in stations: Each station can use the same check-in page simultaneously
- Offline mode: If internet is unreliable, scan QR codes and validate later when online
