Event Groups Guide for Attendees

Event groups let you organize into teams, squads, or friend groups for LAN events. This guide explains how to create and manage groups as an attendee.

What Are Event Groups?

Event groups are private teams within an event. They help you:

  • Coordinate with teammates
  • Register together with friends
  • Organize for tournaments
  • Plan your LAN party experience

Creating a Group

  1. Navigate to an event page
  2. Look for "My Groups" or the groups section
  3. Click "Create New Group"
  4. Fill in:
    • Name: Your group's name (e.g., "Team Alpha", "Gaming Squad")
    • Description: Optional description of your group
    • Max Members: Maximum number of people in your group (optional)
  5. Click "Create Group"

You'll automatically become the group leader, and your group will be created.

One Group Per Event

You can only create one group per event. If you want to create a new group, you'll need to leave or delete your current group first.

Managing Your Group

As a group leader, you can:

Invite Members

  1. Open your group
  2. Click "Invite Member"
  3. Either:
    • Search by Email: Enter an email address to invite someone
    • Search by Username: Find a registered user by their username
  4. Click "Invite"

Invited members will receive a notification and can join your group.

  1. Open your group
  2. Click "Generate Registration Link" or "Copy Link"
  3. Share the link with teammates

When someone uses your group's registration link, they'll automatically join your group when they register for the event.

Sharing Your Link

Share your group registration link in Discord, email, or any messaging app. Anyone who uses it will join your group when they register!

Manage Members

  • View Members: See all group members and their status (invited, joined, left)
  • Remove Members: Remove members from your group if needed
  • Update Roles: Change member roles (though most groups only need leaders and members)

Edit Group Details

  • Update the group name or description
  • Change the maximum number of members
  • Update other group settings

Joining a Group

There are two ways to join a group:

  1. Receive a group registration link from a group leader
  2. Click the link
  3. Register for the event (or complete registration if you haven't already)
  4. You'll automatically be added to the group

Note for Group Leaders

If you're the group leader, you're already a member of the group. You can still use the registration link to register for the event if needed, but you won't be able to join the group via the link since you're already the leader.

Method 2: Accepting an Invitation

  1. Receive an invitation from a group leader
  2. Accept the invitation
  3. You'll be added to the group

Already Registered?

If you're already registered for the event, you can still join a group using a registration link or by accepting an invitation.

Group Member Status

Group members can have different statuses:

  • Invited: The member has been invited but hasn't joined yet
  • Joined: The member has accepted and is part of the group
  • Left: The member has left the group

Leaving a Group

If you need to leave a group:

  1. Open the group
  2. Click "Leave Group"
  3. Confirm that you want to leave

Leaving as Leader

If you're the group leader and leave, the group will be deleted and all members will be removed. Make sure to transfer leadership or let members know before leaving.

Group registration links are special URLs that automatically add people to your group when they register. They're perfect for:

  • Sharing with teammates who haven't registered yet
  • Making it easy for friends to join your group
  • Coordinating team registration
  1. Generate a link from your group
  2. Share it with teammates
  3. When someone uses the link to register, they automatically join your group
  4. The link can be used multiple times (unless you set a limit)

Group Leaders and Registration Links

As a group leader, you're already a member of your group (added automatically when you create it). You can use your group's registration link to register for the event if you haven't already registered. However, you won't be able to "join" the group via the link since you're already the leader and member. The link is primarily for sharing with teammates who aren't yet in the group.

Best Practices

For Tournament Teams

  1. Create your group early
  2. Generate a registration link
  3. Share the link with all team members
  4. Ensure everyone registers before the deadline
  5. Check that all members have joined

For Friend Groups

  1. One person creates the group
  2. Invite friends by email or username
  3. Or share the registration link in your group chat
  4. Coordinate seating preferences if the event has a seating chart

Communication

  • Use the group description to share important information
  • Coordinate through your preferred messaging app
  • Make sure everyone knows the registration deadline

Troubleshooting

Can't Create a Group

  • You may already have a group for this event (you can only create one per event)
  • Check if group creation is enabled for the event
  • Contact the event organizer if you need help

Can't Join a Group

  • The group may have reached its member limit
  • The registration link may have expired
  • You may already be in another group for the event
  • Contact the group leader for assistance
  • Check if the link has expired
  • Verify the link was copied correctly
  • Make sure you're clicking the link for the correct event
  • Contact the group leader if issues persist

Member Not Showing Up

  • Check their status (they may be "invited" but not "joined" yet)
  • Ask them to accept the invitation or use the registration link
  • Verify they've completed event registration

Assigning Tickets to Group Members

As a group leader, you can register for multiple tickets using an early registration link (if your group has been assigned one by the event organizer), then assign those tickets to your group members.

How Ticket Assignment Works

  1. Receive Early Registration Link: If your group has been assigned an early registration link, you'll receive it from the event organizer
  2. Register for Multiple Tickets: Use the early registration link to register for tickets (one for each group member)
  3. Assign Tickets: Go to your group management page and assign each ticket to a group member
  4. Members Receive Tickets: Once assigned, group members will see their tickets in their account

Early Registration Links

Early registration links assigned to your group allow you to register before general registration opens. This is especially useful for tournament teams where you need to ensure all members get tickets together.

  • Early Registration: Some groups may have early registration access assigned by the event organizer
  • Ticket Assignment: Group leaders can assign tickets to members after registering
  • Seating Charts: Groups can coordinate seating preferences
  • Check-In: Groups can check in together at the event
