Event Groups Guide for Organizers

Event groups allow attendees to organize into teams, squads, or friend groups for your events. This guide explains how to manage groups as an event organizer.

What Are Event Groups?

Event groups are private teams that attendees can create within your event. Groups help attendees:

  • Coordinate with teammates
  • Register together
  • Organize for tournaments
  • Plan with friends

As an organizer, you can view all groups, manage them if needed, and create group registration links that allow multiple teams to register at once.

Viewing Groups

  1. Go to your event's management page
  2. Click "Groups" in the sidebar
  3. You'll see a list of all groups for the event

The groups list shows:

  • Group name and description
  • Group leader (creator)
  • Number of members
  • Registration status

Group registration links are special URLs that allow people to create or join groups when they register. This is perfect for tournaments where you want multiple teams to register.

  1. Go to your event's management page
  2. Click "Groups" in the sidebar
  3. Click "Create Group Registration Link"
  4. Fill in:
    • Label: A name for the link (e.g., "Tournament Team Registration")
    • Max Uses: Maximum number of times the link can be used (optional)
    • Expires At: When the link expires (optional)
    • Allow Group Creation: Whether users can create new groups with this link
  5. Click "Create Link"
  6. Copy the link and share it with team captains or group leaders
  • View Usage: See how many times each link has been used
  • Edit Links: Update labels, max uses, or expiration dates
  • Delete Links: Remove links that are no longer needed

Tournament Setup

For tournaments, create a group registration link and share it with team captains. Each captain can create a group, and their teammates can join through the group's registration link.

Managing Groups

Viewing Group Details

Click on any group to see:

  • Group members and their status (invited, joined, left)
  • Member roles (leader, member)
  • Registration status
  • Group registration link (if one exists)

Removing Groups

If a group needs to be removed (e.g., duplicate or inappropriate), you can delete it from the groups management page. This will also remove all group members.

Deleting Groups

Deleting a group is permanent and will remove all members. Only delete groups if absolutely necessary.

Best Practices

For Tournaments

  1. Create a group registration link with a clear label (e.g., "Tournament Team Registration")
  2. Share the link with team captains
  3. Let captains create their own groups and invite members
  4. Monitor group creation to ensure teams are properly set up

For General Events

  • Let attendees create groups organically
  • Groups are useful for friend groups or gaming squads
  • You don't need to manage them unless there's an issue

Group Limits

  • Each user can create one group per event
  • Groups can have a maximum number of members (set by the group leader)
  • Group registration links can have usage limits

Troubleshooting

A Group Has Too Many Members

If a group exceeds tournament limits, contact the group leader to remove members or split the group.

Duplicate Groups

If duplicate groups are created, you can delete the unnecessary ones from the groups management page.

Group Registration Issues

If someone can't join a group:

  • Check if the group has reached its member limit
  • Verify the registration link hasn't expired
  • Ensure the user hasn't already joined another group for the event

You can assign early registration links to specific event groups. This enables a powerful workflow:

  1. Assign Link to Group: When creating or editing an early registration link, assign it to a specific group
  2. Group Leader Uses Link: The group leader can use the early registration link to register for multiple tickets
  3. Assign Tickets to Members: The group leader can then assign those tickets to group members

This is perfect for tournament organizers who want team leaders to handle registration for their entire team.

To assign an early registration link to a group:

  1. Go to your event's management page
  2. Navigate to "Groups" in the sidebar
  3. Find the group you want to assign a link to
  4. Use the early registration link assignment feature (if available in the UI)
  5. Or create/edit an early registration link and set the group assignment
  • Seating Charts: Assign seats to groups for coordinated seating
  • Check-In: Check in entire groups at once during event check-in
